Committes and Duties

Membership

The committee shall receive dues, issue receipts and membership cards, and send a copy of the By-Laws and a form letter to each new member, outlining responsibilities to the Association.

The committee shall maintain a list of names, addresses, and telephone numbers of all paid members, and the committee shall report these lists to the President, Corresponding Secretary, Newsletter Chairperson, and the the Exhibit Chairperson at the time of an exhibit. The committee shall also issue and distribute the yearly roster.

The committee shall turn all monies over to the Treasurer and require a receipt.

Hospitality

The committee shall provide refreshments, and hosts and hostesses, in accordance with the instructions of the Board of Directors.

The committee shall send flowers in case of the death of a member or their immediate family, or to a member who is seriously ill, either at home or in the hospital.

The committee shall visit or send cards to other members who are ill.

The committee shall inform members of the Association of the death or illness of a member.

Newsletter

The committee shall issue and mail newsletter and shall print any special material as instructed by the Board of Directors.

Exhibit

The committee shall secure judges and awards, and determine rules for all exhibits, subject to approval of the Board of Directors.

The committee shall receive and record, hang and dismantle all exhibits except as provided in paragraph 2 below: There shall be a sub-committee for the library exhibit consisting of a chairman and two(2) or more members. This sub-committee shall:

  1. Submit to the Board of Directors a list of members to be considered for shows at the Howell Carnegie Library for the months designated by the Library. The chairman should maintain a current list of showings. The show may be assigned to individual members or to groups of members.
    1. Generally, primary consideration should be given to members who have belonged to the Association for at least one (1) year and have been actively working for the Association.
    2. A member shall not be considered for an individual show more than once every two(2) years, except by approval of the Board.
    3. A member exhibiting at the library shall be expected to act as host or hostess at their own and other Library shows.
    4. At least one(1) show shall be assigned to a group of four or more members.
  2. A sub-committee shall be appointed to hang and dismantle all exhibits at the Howell Carnegie Public Library.
  3. A sub-committee shall be appointed to schedule hosts and hostesses for "picture sitting" in cooperation with the Library Exhibit Chairperson. Members of the Association should be recruited and non-member volunteers shall be welcomed.
  4. A sub-committee shall also be appointed for other invitational exhibits.

Library

The committee shall maintain the Association Library in good order, and record loans of books from the library.

Committee shall notify members when books are overdue, and collect a fee for the use of the books, in accordance with the instructions of the Board of Directors.

Program

The committee shall recommend, for the approval of the Board of Directors, speakers, films, demonstrations, etc., that are believed to be of interest to the members. The committee shall arrange for the presentation of these programs, and also arrange for the availability of necessary equipment.

Publicity

The committee shall be responsible for maintaining constant and continuous publicity for tall Association activities in the local newspapers.

The committee shall initiate requests for news pictures when appropriate, as well as articles and news items.

The Publicity Chairperson shall also notify the Newsletter Chairperson of all scheduled programs.
